Volunteer Policy

1. Purpose

The purpose of this policy is to outline KCA CIC’s approach to working with volunteers, ensuring that:

– Volunteers are welcomed, valued, and supported

– Their rights and responsibilities are clear

– They understand the standards and policies that apply while volunteering

2. Our Commitment to Volunteers

KCA CIC recognises that volunteers are central to our work and mission. We will:

– Treat all volunteers with respect and dignity

– Provide clear role descriptions and expectations

– Offer appropriate support and supervision

– Reimburse reasonable expenses where agreed in advance

– Ensure volunteers are covered by appropriate insurance while volunteering

– Provide access to relevant policies, training, and safeguarding measures

3. Who This Policy Applies To

This policy applies to all individuals who have formally agreed to volunteer with KCA CIC.

4. Recruitment and Selection

– We aim to ensure volunteering opportunities are open and accessible to all

– Recruitment decisions will be based on the role requirements and our Equality, Diversity and Inclusion Policy

– Where roles involve contact with children or vulnerable adults, volunteers will be subject to appropriate checks, including DBS checks where required by law

5. Volunteer Roles and Responsibilities

Volunteers are expected to:

– Carry out their role to the best of their ability

– Follow the guidance and instructions provided by supervisors

– Adhere to KCA CIC policies and Code of Conduct, including:

– Safeguarding Policy

– Data Protection Policy

– Equality, Diversity and Inclusion Policy

– Anti-Bribery and Anti-Fraud Policies

– Represent KCA CIC positively and maintain confidentiality

6. Induction and Training

Volunteers will receive:

– A role description and induction

– Access to relevant policies

– Training as appropriate to the role

7. Support and Supervision

– Volunteers will have a named point of contact (usually a Director or Coordinator)

– Regular check-ins will be provided where possible

– Volunteers can raise concerns at any time and will be listened to

8. Expenses

– KCA CIC will reimburse reasonable, pre-agreed out-of-pocket expenses (such as travel) upon production of receipts

– Volunteers must not be out of pocket for supporting KCA activities

9. Health and Safety

– Volunteers must follow KCA CIC’s Health & Safety Policy and any risk assessments relevant to their role

– Any accidents or incidents must be reported immediately

10. Ending a Volunteering Arrangement

– Volunteers may stop volunteering at any time; we ask for as much notice as possible

– KCA CIC may also ask a volunteer to step down if:

– There is a breach of policies or Code of Conduct

– The volunteer role is no longer available

– This will always be handled with sensitivity

11. Review

This policy will be reviewed annually by the Board of Directors.
